To make a reservation, Santa asks that you first please fill out the In-Person Visit Reservation Request form and provide as much detail as you can. The information requested is necessary in order to provide you with an accurate 'Quote'. The more detailed the information that you provide, the more accurate your estimate on the quote will be. Please Include the exact address of the venue so that it can be included on your 'quote' and the later 'Invoice/Booking Agreement'. Santa needs to know when and where you want him to appear. The information that you provide on the form will give Santa the information that he needs to help make your visit as magical and memorable as the experience can be.
After submitting your request, if the date or one of the alternates that you request is available, you will receive a 'Quote'. Act quickly if you wish to accept the quote, as Santa get busier and booking availability dwindles as the season gets closer. If you wait too long. your chosen dates could become unavailable. Once you accept the quote, you will receive a pre-booking invoice. You will have 7 business days suspense from when you receive the invoice to make a payment to secure your reservation, so please act quickly. Please verify the visit date, performance time, and all other information on the document before agreeing to confirm, as sometimes clients choose a time frame for their event without understanding what they really need. If you have any questions, please contact East Texas Real Santa immediately. If something is confusing or incorrect on your Quote or Invoice, please communicate with Santa BEFORE making any payment to finalize your Booking with confirmation of the Agreement. Your reservation date will not be booked and guaranteed unless your payment is processed by the 7 business day suspense date. Submitting a payment will signify as Signing the agreement and communicating that you are in agreement with all terms and conditions. Again, please be sure that everything is correct on the Agreement BEFORE finalizing your reservation, as it and all other information communicated with you, through the website and in all previous communications, is considered to be part of the Agreement.
Once you receive the pre-booking invoice and have reviewed it, and you are sure that you understand and agree with all Terms, Conditions, and all other information that has been communicated and provided, and you wish to go ahead with booking, please submit the payment to have your reservation locked in and guaranteed by the due date indicated on the invoice (the due date is typically 7 business days from the issue date of the estimate). After you communicate your agreement by submitting payment and it has been processed, your estimate will serve as your 'Tentative Booking Confirmation Agreement' until you receive an updated invoice. If you are booking more than 15 days in advance of your reservation date, you may choose to pay the entire amount due up front, or just secure your reservation by paying the minimum required 50% retainer. Payment of 50% of the total due as a non-refundable retainer will be due by the 7th business day after the date of issue on the 'Pre-Booking Estimate'. The due date will also be specified on the form. Bear in mind that all monies remitted, the 50% retainer, or payment in full, are non-refundable. If you do not pay the full amount at the time of confirming you booking, the balance will be due by the 10th day in advance of your Scheduled Visit Date, which will be stated on the agreement. If your are booking your reservation 15 days or less than your event date, a retainer payment of 100% of the balance will be due by the 10th day in advance of your Scheduled Visit Date or your reservation will be cancelled.
Your 'Pre-Booking 'Estimate' will include instructions and methods of payment.
After making payment of either the 50% retainer or the full amount (your choice) within the 10 day suspense date, your pre-booking 'Estimate' will become your 'Tentative Booking Confirmation Agreement'. Once your payment is received your booking will be processed and confirmed and you will receive a modified invoice showing that you have paid that will be the 'Booking Confirmation Agreement' and your reservation will be considered booked and guaranteed unless canceled.
If either party cancels for any reason, although all monies previously remitted are considered non-refundable, they may, however, be applied to a future visit IF it is scheduled within one year.
If you did not submit full payment, and fail to pay the balance due by 10 days in advance of your Scheduled Visit Date, which will be on the agreement, your reservation will be considered canceled.
Sometimes it becomes necessary to postpone or cancel an event. Reasonable emergencies that are beyond the control of either party will be taken into consideration, (illness, family emergency/death, hospitalization, traffic, mechanical breakdown, etc.). If an event is postponed by the Client, Santa will make every attempt possible to reschedule the event without cancellation.
If Santa cancels on the Client due to illness or any other reason, he will make every possible attempt to reschedule your visit, however this cannot be guaranteed and any amounts paid may be applied to a future visit.. Failure to pay any amounts due by their respective due dates will result in your reservation being canceled.
Once the visit commences, either party may choose to end the visit earlier than agreed upon depending on how the visit proceeds and circumstances present themselves. Please stay in touch with Santa and communicate often and in detail about your visit well in advance of your scheduled booking date as well as during the event to ensure that everything proceeds smoothly.
Santa will do his best to arrive at your location at least 15 mins before the scheduled visit start time for both parties to make final preparations. This is when your visit actually begins and Santa's time starts. This time is factored into your quote as part of the duration of visit time. The scheduled visit time and duration are considered to be approximate. Traffic and other circumstances may result in Santa arriving at your visit location slightly earlier or later than scheduled. Expect a call or text from Santa when he is on his way and another when he is about 5 minutes away from arrival outside, and another when he is outside, about 15 minutes before your scheduled visit time. Be ready, and if you have arranged for Santa to deliver your gifts, have them pre-positioned in a place that you have previously communicated to Santa so they are ready when he arrives. If they are large and numerous, expect that Santa my need some help bringing them inside. Expect another call or text a minute or two before he is ready to knock on your door and come inside, so that you can have everyone ready.
For Home Visits a comfortable wing-back chair with no arms is preferred. Please do not place Santa on a low-seating sofa or love-seat that is low to the ground. Please make sure the temperature in your home or business is turned down to 68 F or below and on COOL setting during Santa’s visit with you. Please offer Santa a glass or bottle of water. If you have a fireplace, please do not place Santa next to or too close to the fireplace, as he may roast or his suit may catch on fire. Santa asks that you to please refrain from smoking or consuming alcohol during his visit.
Although Santa is ‘Pet Friendly’, please ensure that your pet is clean and well behaved, or remove him from the area where Santa will be entertaining. If you wish to try and have photos of Santa holding your pet and they are small enough, please think about having a clean blanket to place on Santa's lap to protect his expensive suit.
Your Booking Confirmation agreement will contain a list of the “Services to be provided”. This will spell out as the details agreed upon that both parties will provide. Among some of the information it contains will be:
Length of Santa's Visit, including any breaks, which shall be spelled out.
Any Special Request requirements communicated by either party and and agreed to by both.
How many performers will be included (Santa, Mrs Claus, Elves, etc.).
How many adults and how many children (with ages) will be attending the visit.
Santa's wardrobe style(s) for the visit.
The temperature in your home or business during Santa's visit (Please set your thermostat at or below 68 F).
